Assign/change Program Contact roles

An individual in an Organization can be assigned one or more of the six Program Contact Roles (see About Program Contact Roles). An individual:

When an Organization is created, all required roles are, by default, assigned to the Primary Program Contact of the Headquarters Location (the person who created the Organization). When a new Location is created, by default, the roles for the new Location are automatically assigned the same as those for the Location above it in the Organization hierarchy. Roles can be re-assigned at any time.

  1. From the Requirements and Assets menu, click Assign Contact Roles. The Manage People Page, at the Program Contacts tab is displayed.

  1. Click the down arrow in the Select Location field, choose the Organization or a Location for which you wish to assign roles, and then click the Select button. You now see a list of the Program Contact Roles for the selected Location.

Note: If the Assign and Remove buttons are disabled, you do not have administrative rights for the Location.

To remove an individual from a role

  1. Click the Remove button for the associated role. In the confirmation box, click OK to remove the individual from the role, or click Cancel to exit without changing the role assignment.

To fill an un-assigned role or to re-assign a role

  1. Click the Assign button for the associated role. You now see the Assign Individual to Role dialog.

  1. In the Organization or Location field, click the down arrow and select a Location from the list, and then click This Location Only or Include Associated Locations.

  2. Optionally, if you wish to filter the list by individual, enter information in the name and e-mail address fields (you do not need to complete all three fields).

  3. Click Search. The search results will show a list of associated individuals corresponding to your search criteria, including name, Location, and e-mail address.

  1. Select an individual by clicking the button in front of their name.

  2. Under the list of names, click the button indicating how to apply this role assignment, either This Location Only or Include Associated Locations.

  3. Click Submit. (Click Cancel to exit this page without changing the role assignment.) The newly-assigned individual will receive an e-mail notification. The person who no longer has the role after re-assignment does not receive an e-mail notification.

Who can assign a Program Contact Role to an individual?

 

Global Administrators

Can assign or re-assign roles to anyone in the Organization.

 

Location Administrators

Can an assign or re-assign roles for all Locations for which they have administrative rights.
